Why long SOPs fail

Long, written-only SOPs go stale within a quarter and nobody reads them. The format that actually gets used is a short Loom paired with a 1-page checklist.

The 1-hour SOP recipe

Block one hour per SOP. Most workflows take 20–40 minutes once you've done it twice.

  • Record a Loom of you doing the task once, talking through every decision
  • List 5–10 numbered steps in a doc
  • Add 'inputs' (what you need to start) and 'definition of done' (how you know you're finished)
  • List the 2–3 most common edge cases and how to handle them
  • Link the Loom at the top of the doc and store both in one folder

Make SOPs a living asset

Have your VA update the SOP every time they hit something the doc didn't cover. Within a quarter, your SOP library is genuinely the best documentation of how your business runs.
